The midshipmen at my Navy ROTC unit are looking for creative ideas for fund raising for both the unit and wounded warriors. The idea of a car show was tossed around, but no one knew where to begin. We have a large parking log by the football stadium the university will probly let us use as well as a former Walmart parking lot that is up for lease.
So venue aside where would you begin?
I'll try to track down local car clubs, but can't think of any off hand. This would be at Miami University in Oxford, OH

This would be an open show with entry fee and sponsered awards. I'm looking to do this in the spring so I have plenty of time to organize and advertise. Thanks for the idea to include a DJ or radio station, I'll look in to that for sure. It may even help with a little advertising!
If we received enough sponsers to have awards for multiple classes what are some good standards to set up to define each class. I'm just finishing my car and have yet to enter any show, so I'm not sure why is standard fare. Since I am one of the organizers I am going to show, but not be entered for awards.
I'll have to figure something out about food as the university likes its monopoly.
I talked to a few guys at the gym this morning and they recommended I talk to the city visitor center, I didn't even know we had one lol.

There is a lot more to it than just getting cars to show up on the right date. To get a good 'look' at how it's done, I would suggest that you find a club that already puts on shows and glean whatever info you can about the process. If you can line-up with a club that is having a show very soon, work with their 'Show Committee' to learn what all is done to make a successful show. Lots of work and you need several people who will committ significant time and effort.
If you don't have at least 5 good people to help you, don't even get started. {Been there....done that.... } You also need to involve the local community and get some sponsorship from area businesses. And, in today's economy, that's not an easy task.
I don't mean to discourage you, but there are lots of car shows going on all the time and you have to be able to execute your plan at the same level as the other shows, or no one will come to yours.
Start with a pad of paper and jot down what you want to accomplish by putting on this show. It needs to have some central theme that will garner interest from car folks and the public; sponsoring a worthwhile organization/charity/benefit is a MUST; try to find a date that doesn't conflict with other car shows or local public gatherings of some sort. Folks need to be available to attend your show.
You may need a Permit from the local government, especially if food is being sold.
Contact some local car clubs by calling the club president to help spread the word.
Make up some flyers and distribute them at cars shows before your event. Every time I do a show, I come home with at least 3-5 new show flyers for upcoming shows.
The food won't be an issue if we have the university concessions take care of it.
What are the needs for the insurance.... would it be possible to have waivers to mitigate the reasons for having the insurance? Also, what would it cost ..approx
Waivers are good only for the participants, not the spectators. Maybe the venue will let you ride on their policy or require you to have seperate insurance. K & K Insurance would be a good place to start. Having a few people doing some of the leg work will take the strain off. the shows my club does now almost run themselves (a few phone calls and a trip to the trophy shop). It wasn't like that for the first two or three. /:\
I now have 4 MIDs assigned to this to do some more research and get stuff lined up.
Mike- Boats would be nice... Since we are land locked here in south west ohio we do what we can. I'm sure there will be plenty of "boats" there especially if I bring my beater 65' Impala lol

My cousin joined the Navy because he loved the water and boats of all sizes. Got stationed in Oklahoma, if I recall correctly. He wasn't the least bit happy.
